Office Manager / Bookkeeper

Architecture firm located in the Museum District in Houston is looking for a motivated and self-starting individual to fill this full-time position. Candidates should have solid proven experience as a Bookkeeper and Office Manager exclusively in the A/E industry.

Candidate’s primary responsibility will be to perform the firm’s bookkeeping and performing all administrative tasks associated with running the firm, such as organizing and updating files, maintaining records and overseeing the day-to-day administrative functions of the firm are also part of the job description.

Primary Responsibilities:

1. General Bookkeeping: process payroll, monitor and maintain receivables and payables, maintain updated financial data folder, prepare financials for CPA’s review, monitor project budgets, monitor billable/non-billable time, monitor consultant budgets, monitor PM’s use of project financial control software, ensure subcontractors and insurance requirements are in place and updated, etc.
2. Administration: manage the office environment and policies, tend the reception/phones, ensure the availability in stock of office and kitchen supplies and beverages, monitor the recycling program, assist in the procurement and maintenance of computers and other equipment, perform human resources tasks, maintain and control employee files and benefits, travel arrangements, create documents within the AIA Electronic Document software, assist with the preparation of Architect/Consultant Agreements, etc.

Excellent written and verbal communication skills are a must. The preferred candidate should have demonstrated writing ability. Proficiency with Axium Ajera (or similar Project Management/Accounting software) and MS Office is required. Experience with other programs such as Adobe Creative Suite is a plus. Verifiable recent references are required.
